Many hands, one weekend
The convention is built by its people. Give a few hours on the weekend, or join a workstream through your chapter and help shape it from now until July 2027.

Roles on the weekend
Most shifts are two to four hours, so you can still enjoy the Lela, the Gala and time with family. We brief everyone before the weekend, and you are never on your own.
Welcome desk
The first friendly face guests see. Greet arrivals, hand out welcome packs and answer questions in English, French or German.
What it involves: Check-in support, directions, lost property, a calm voice when plans change.
Children's programme
Help run the children's club and the Lela Olympiad, with games, crafts and stories for ages 5 to 15.
What it involves: Working in teams with a lead. Adults on this role need an enhanced DBS check (or the equivalent from your country), which we arrange.
Shuttle marshals
Meet guests off the shuttles from Reading station and Heathrow at peak times on Thursday and Sunday.
What it involves: Greeting at stops, keeping lists, helping with luggage, waving the last coach off.
Tech and check-in
Keep the Bali Pass flowing: scan passes at the door, at meals and at the Gala, and help guests with the app.
What it involves: A short training session, a phone or tablet we provide, patience with first-time app users.
Photography
Capture the weekend for the magazine and the families, with care and with consent.
What it involves: Following our photo consent guidance, respecting anyone wearing a no-photo lanyard, and sharing pictures with the communications team.
Young Bali crew
For young volunteers up to 25: help with the dance competition, the tournament and the Young Bali lounge.
What it involves: Stage and set-up help, running sign-ups and scoreboards, bringing the energy. Under-18s need a parent or guardian's consent.
Offer to help
Tell us how you'd like to help
It takes three minutes. We'll be in touch in spring 2027 with shifts and a briefing date.
Behind the scenes
Six workstreams, every chapter at the table
The UK hosts, Europe owns it. The Convention Preparation Committee works through six workstreams, and each has a lead from a different chapter, not only the UK.
Programme & culture
The four days, the Lela, the dance competition, the children's programme and the place of Mungaka in it all.
Venue & rooms
The estate, the room block, nearby hotels, shuttles and making the site work for everyone.
Finance & payments
The budget, instalments and payments collected by country, and the monthly figures every chapter sees.
Digital & registration
The registration app, the Bali Pass on your phone, this website and LelaHub.
Funding & sponsors
Sponsors, patrons, exhibitors and food vendors, so most of the money is in before July.
Communications
News, the newsletter, the magazine, social media and translations into French and German.
How to join through your chapter
Talk to your chapter
Each chapter names a workstream lead and keeps a list of members who want to help.
Pick a workstream
Choose what suits your skills and time. A few hours a month makes a real difference.
Join the monthly rhythm
Workstreams meet online and report progress to all chapters every month.
Not sure who your chapter contact is, or not in a chapter? Write to us and we'll connect you.
News, volunteer calls and stories from the chapters arrive once a month in the newsletter. Sign up at the foot of this page.
