The Organisers
The UK hosts. Europe owns it.
BCDA-UK hosts the 2027 convention for the Bali Nyonga family across Europe. The BCA Europe leadership sits as the steering group, and every chapter leads part of the work.
- Steering group: the BCA Europe leadership
- Six workstreams, each led from a different chapter
- A monthly report to all chapters
Who does what
Three levels, one line of accountability
The same structure as the diagram above, in words.
BCA Europe leadership
Steering group
Sets the direction and checks the affordability promise at each milestone. Decides what changes if a gate is missed. Decisions above an agreed value come here, not to the UK alone.
Convention Preparation Committee
Co-chairs
Named co-chairs run the day-to-day work and report every month. They work very closely with the BCA Europe leadership from day one.
Six workstreams
Six teams do the work. Each has a lead from a different chapter.
Programme & culture
The running order of the weekend, the cultural evenings, the dance competition and Mungaka in the programme.
Lead chapter: to be named
Venue & rooms
The estate contract, the room block on site, the overflow hotels and the shuttles.
Lead chapter: to be named
Finance & payments
The budget, the Bali Pass instalments and payments collected by country into local accounts.
Lead chapter: to be named
Digital & registration
LelaHub, registration and the Bali Pass on the app, so nobody needs a spreadsheet.
Lead chapter: to be named
Funding & sponsors
Sponsors, exhibitors, patrons and magazine advertising, banked before July 2027.
Lead chapter: to be named
Communications
The monthly report, this website, the magazine and news to every chapter in three languages.

Our commitments
Nothing hidden, nothing a surprise
A monthly report to all chapters
Progress, money and risks, published here every month in English, French and German.
Milestone gates
Venue contract, pass sales open, half the rooms booked. If a gate is missed, the steering group decides what changes.
Big decisions go to Europe
Decisions above an agreed value go to the BCA Europe leadership, not to the UK alone.
Learning from past hosts
A lessons-learned session with Belgium, Germany and Switzerland before the plan is final.
Trust is earned by reporting, not by asking for it.
Milestone gates
The road to July 2027
Nine months of build, seven months of sales. A gate is a point where the steering group checks progress before more is committed.
Vision presented to BCA Europe leadership
BCDA-UK presented the plan and five decisions for leadership to take.

The people
Co-chairs and workstream leads
Co-chairs and workstream leads will be introduced here once appointed.
Appointments are planned for November 2026, once the BCA Europe leadership has decided. We publish names and photos only with each person’s consent.
The plan includes a youth seat on the committee for Young Bali.
Lessons learned
Learning from Belgium, Germany and Switzerland
Before the plan is final, we hold a lessons-learned session with each past host. These are the honest lessons we start from.
Accommodation let people down
Guests were spread across several hotels. Rooms ran short and families ended up far from the action.
In 2027: 376 rooms on one estate.
Too much travel between events
Different venues meant taxis, car shares, late starts and missed moments.
In 2027: every event on one site.
Paying was hard work
Collecting money across countries, currencies and bank accounts was slow, manual and hard to reconcile.
In 2027: one pass, instalments, payments by country.
None of this is anyone’s failure. These are the limits of a volunteer formula that has reached the top of its design.
The sessions with each past host are planned for autumn 2026. A summary will follow in a monthly report.
Hold us to it
Read the reports. Ask the questions.
Every month we publish where things stand. Everyone taking part also agrees to our code of conduct.
