About these terms
This page summarises the main terms that will apply to Bali Passes for the BCA Europe Convention 2027, hosted by BCDA-UK for BCA Europe at De Vere Wokefield Estate from 29 July to 1 August 2027.
The full terms will be published when passes go on sale, in the registration app, and you’ll be asked to accept them before you pay. If anything here differs from the full terms, the full terms apply.
Bali Passes
- A Bali Pass gives entry to the events listed for that pass. The Full Weekend pass includes every event from Thursday to Sunday, every meal and a Gala dinner seat.
- Passes are personal and are shown on your phone. They are scanned at the door, at meals and at the Gala.
- The Young Bali pass is for guests aged 18 to 25, and the Child pass for ages 5 to 15, on the first day of the convention. We may ask for proof of age.
- Rooms are not included. Rooms in the room block and nearby hotels are booked separately, under the hotel’s own terms.
- Prices on this website are illustrative until passes go on sale.
Paying in instalments
- You can pay in full or in instalments from the day sales open.
- Payments are collected by country, in local accounts, through the registration app.
- The final payment is due by 30 June 2027. If a payment is late, we’ll remind you before taking any action. If the balance is not paid by the deadline, we may cancel the pass under the refund terms below.
- Early-bird prices apply to passes booked before the early-bird deadline, as long as the instalment plan is kept up to date.
Cancellations and refunds
The full refund schedule will be confirmed in the full terms. Our intended approach is:
- a full refund, minus a small administration fee, if you cancel well before the convention;
- a partial refund closer to the date, reflecting costs we have already committed to the venue;
- no refund in the final weeks, except where we can resell your place or you transfer it.
If we have to cancel the convention, we will refund the money you have paid for your pass in full.
Transfers and changes
- You can transfer your pass to someone else, free of charge, up to a date set in the full terms. The new guest must meet any age rules for that pass type.
- You can upgrade your pass (for example from Gala only to Full Weekend) by paying the difference, while places are available.
Changes to the programme
The programme is indicative. Times, venues on the estate and performers may change. We’ll tell you about any significant change as early as we can.
Behaviour and safety
Every guest agrees to follow the code of conduct. We may refuse entry or ask someone to leave, without a refund, if they put others at risk or seriously break the code of conduct.
Photographs and filming
There will be photography at the convention. You can ask not to be photographed, and we’ll give you a no-photo lanyard. See the code of conduct for details.
Our responsibility
We take care to run a safe and well-organised event. Nothing in these terms limits our liability where the law does not allow it to be limited. We are not responsible for travel costs or hotel bookings if the programme changes, so we recommend travel insurance.
