Passes and payment5 questions
What is the Bali Pass?
One payment for the whole weekend. The Full Weekend pass covers every event from Thursday to Sunday, every meal, your Gala dinner seat and the children's programme for the family. Your pass lives on your phone and is scanned at the door, at meals and at the Gala.
How much does it cost?
The planned prices are: Full Weekend £275, Young Bali (18 to 25) £150, Child (5 to 15) £75, Gala only £110, Fon's Circle patron £500, and the Overseas Delegate package from $650. These figures are illustrative until the venue quotes are final.
Rooms are booked separately. Our promise is that what a member spends stays in line with recent conventions, allowing only for inflation.
Can I pay in instalments?
Yes. You can pay in instalments from the day sales open, through the registration app, and you can always see what you have paid and what is left. The final payment is due by 30 June 2027.
Can I pay in euros or from my own country?
Payments are collected by country into local accounts, so members outside the UK can pay their own chapter's account in their own currency. Prices are set in pounds; any euro figure on this site is an approximate guide.
When do passes go on sale?
Sales are planned to open on the registration app in December 2026, with early-bird prices for the first weeks. Register your interest and we'll email you the day they open.
Travel and stay4 questions
Where is the convention?
At De Vere Wokefield Estate, Goodboy's Lane, Mortimer, near Reading in Berkshire, England (RG7 3AE). Every event, every bed and every meal is on one estate, so there are no taxis between venues.
How do I get there?
From Heathrow it is about 35 to 45 minutes by car, or the RailAir coach to Reading station. From London Paddington, fast trains reach Reading in 22 to 30 minutes. From Reading the estate is about 20 minutes by taxi, and we plan shuttles from Reading station and Heathrow at peak times on Thursday and Sunday. By car it is 10 minutes from junction 11 of the M4.
Times are indicative; please check before you travel.
Is accommodation included in the pass?
No, rooms are booked separately. We are negotiating a room block on the estate, with a target of around £95 to £120 per room per night including breakfast. If you prefer, there are cheaper hotels 10 to 15 minutes away.
Is there parking?
There is parking on the estate. Numbers and any charges are still to be confirmed with the venue, and we'll publish them on the Getting here page.
Programme3 questions
What happens over the four days?
Thursday: sightseeing in the afternoon and the Meet and Greet with Njang in the evening. Friday: games, children's activities, the bazaar and the auction, then the Official Opening in our uniforms, with culture through to midnight. Saturday: the General Assembly from 11:00 to 13:00, cultural dancing and the dance competition, then the Gala. Sunday: the executive meeting, then the barbecue and goodbyes.
Times are indicative and will be confirmed.
Will there be fundraising during the evenings?
No. Fundraising happens across the year and in daylight, at the bazaar and the auction on Friday. The Gala is a celebration again, and nobody is asked for money in the middle of the party.
Can I come for just one day or just the Gala?
Yes. The Gala only pass covers Saturday night dinner and dance. Day visitors are welcome at the Friday games and bazaar. A Friday-to-Saturday pass may be added if there is demand.
Children and families3 questions
What is there for children?
A children's club and the Lela Olympiad, with games and activities across the weekend. The Child pass (ages 5 to 15) costs £75 and includes the children's club, the Lela Olympiad and all meals.
Who looks after the children?
The children's programme is run by volunteers with an enhanced DBS check or the equivalent from their country, under a named safeguarding lead. Parents stay responsible for their children outside programme sessions.
Do children under 5 need a pass?
The Child pass is for ages 5 to 15. We'll confirm the arrangements for children under 5 when passes go on sale.
Accessibility2 questions
Is the venue accessible?
We are checking step-free routes, accessible rooms and toilets during the site visit and will publish the details on the Venue page. One estate means short walks between events instead of taxis.
How do I tell you about my access needs?
Use the contact form and choose "Accessibility", or email our accessibility contact. Tell us what would help, for example a ground-floor room, seating near the stage or a quiet space, and we'll reply within five working days.
Overseas guests2 questions
I'm coming from outside Europe. Is there a package?
Yes. The Overseas Delegate package, from $650, includes the Full Weekend pass, Heathrow transfers and a Windsor and London tour. Guests from the USA, the Nordics, Canada, the Gulf and Bali Nyonga are all warmly welcome.
Do I need a visa, and can you send a letter of invitation?
Check the UK government's visa rules for your nationality early, as decisions can take several weeks. Once you have registered, we can prepare a letter of invitation for your visa application.
Partners2 questions
How can my business sponsor the convention?
See the Partners pages for sponsorship packages, magazine advertising and the enquiry form, or write to our partnerships team. Sponsors reach 300 to 500 guests from across Europe and beyond.
Can I have a stall at the bazaar or sell food?
Yes. Exhibition stands and food pitches are available, and you can apply on the Exhibit & sell page. Food vendors will need a food hygiene rating, allergen information and public liability insurance.
